Set Event Pricing & Extras

Last updated

Every event can be free, or it can charge families at sign-up — per person or as one flat price per family. You can also add optional extras families buy along with their registration, like a t-shirt, a lunch, or a raffle ticket. This guide covers how to price an event, how payment works, and how to set up extras.

Where to Set Pricing

Open the event and click Edit (or set pricing while creating it). Pricing and extras are in the Pricing and Extras sections of the event form.

Note: Free events are included on every plan. Charging for tickets or extras requires the Basic plan or higher, and Stripe must be connected before you can publish a paid event. See Connect to Stripe.

Choose How to Charge

Under Pricing, choose one of three options:

  • Free — no payment step at all. Families register and they're done.
  • Per person — the price is charged for every attendee. A parent bringing two children pays three times the price. Enter the Price per person ($).
  • Per family (flat) — one price covers everyone on the registration, no matter how many attendees. Enter the Price per family ($).

Per person works well when each attendee costs you something, like a meal or an admission ticket. Per family works well for family nights and community events where you'd rather not discourage siblings from coming.

Early-Bird Pricing

On the Premium plan, you can reward families who register early. Enter an Early-bird price ($) and choose when the Early-bird ends. Until then, the event page shows the early-bird price with an "Early-bird pricing" label. After the deadline, the regular price takes over automatically.

Families pay the price in effect when they register. If you later change your price, families who already registered aren't affected.

Payment Methods

By default, a paid event accepts the same payment methods you've chosen for your school under Settings \> Accounting. Families paying online can use a credit card or a bank transfer (ACH), and if you accept cash or checks, families can choose Pay at the event.

On the Premium plan, turn on Set payment methods for this event to choose different methods for just this event — for example, cash only for a bake sale, or online only for a ticketed gala.

Tip: If you accept cash, decide whether the event should Hold spots for unpaid registrations (see Create an Event). With it on, families who choose to pay at the event keep their spots. With it off, they're not registered until you record their payment.

Fees

Two kinds of fees can apply to online payments for events:

  • Stripe processing fee — what Stripe charges to process a card or bank payment.
  • Lazarus convenience fee — $0.99 per registration under $50, or $1.99 for $50 and up.

Who pays them follows your school-wide settings under Settings \> Accounting. The Charge users Stripe processing fees toggle decides who pays the processing fee. The Applicants pay the $25 platform application fee toggle also decides who pays the event convenience fee — the $25 amount only applies to enrollment applications. When families pay a fee, it's added to their total at checkout and listed separately so they can see it.

Free registrations and payments made at the event never carry either fee.

Refund Requests

On the Premium plan, paid events offer families a Request a refund button on their registration. Requests come to you to approve — nothing is refunded automatically. To turn requests off for an event, switch on Tickets are non-refundable. The event's At a glance summary shows whether refunds are "Requests enabled" or "Not offered."

See Manage Your Roster & Event Day for how to issue refunds.

Extras

Under Extras, click Add an extra to offer optional add-ons at registration. For each one, set:

  • Name — what the family is buying, like "T-Shirt" or "Pizza Lunch."
  • Price ($) — the cost of the extra. Pricing extras requires the Basic plan or higher. On the Free plan, extras can still be offered at no cost — useful for things like "I'll bring a dish to share."
  • Per attendee — check this to offer the extra separately for each attendee (one t-shirt per child) rather than once for the whole registration.
  • Enable multiple — let families choose more than one, and optionally set a Max quantity.
  • Inventory — on the Premium plan, cap how many are available in total. Once they're gone, the extra shows as sold out.

Extras appear on the public event page under "Extras available at registration," so families know what's on offer before they start.

Volunteer Slots

On the Premium plan, the Volunteer slots section lets families sign up to help while they register — setup crew, the bake sale table, cleanup. Click Add a slot, name it, and set how many Spots it needs (leave it blank for no limit). Families see a "Want to volunteer?" section on the registration form, and your event page tracks how many spots in each slot are filled.

With pricing set, you're ready to build the questions families answer when they register.
